Terms and Conditions
These terms and conditions ("Agreement") apply to the provision of product photography services by WOOE Studios ("Company", "we", "us") to clients ("Client", "you").
1. Services
WOOE Studios offers professional product photography services as outlined in our service offerings. Services include, but are not limited to, studio photography, product styling, and post-production editing. The specifics of each project will be agreed upon prior to commencement.
2. Booking and Payment
A £50 non-refundable deposit is required to secure your booking. The remaining balance is due upon completion and before delivery of the final images.
Payments can be made via bank transfer
All prices are in GBP and are subject to change. Quotes are valid for 30 days from the date of issuance.
3. Cancellation and Rescheduling
Cancellations must be made in writing at least 48 hours before the scheduled shoot. Failure to do so will result in a charge of 25% of the total cost of the shoot or the withholding of the non-refundable deposit whichever is the higher.
Rescheduling is allowed once per project, provided a minimum of 48 hours’ notice is given. Additional rescheduling may incur a fee.
4. Intellectual Property Rights
WOOE Studios retains the copyright to all images created during the project. You will receive a limited license to use the images for marketing, advertising, and promotional purposes, as agreed upon in the contract.
You may not sell, modify, or distribute the images without prior written consent from WOOE Studios.
WOOE Studios reserves the right to use images for promotional purposes, including but not limited to portfolios, websites, and social media, unless a prior written agreement restricts this.
5. Delivery of Images
Final images will be delivered in digital format via a secure link or download service.
Delivery timelines will be agreed upon before the project starts but typically range from 5 to 15 business days after the shoot, depending on the size and complexity of the project.
Any requested changes to the images after delivery will be subject to additional editing fees, unless the changes relate to mistakes made by WOOE Studios.
6. Client Responsibilities
You are responsible for providing products to be photographed at least 48 hours prior to the shoot. WOOE Studios is not liable for any delays caused by late delivery of products.
You must ensure all products are in good condition, clean, and ready for photography. WOOE Studios reserves the right to refuse photography of any product deemed unsuitable for photography without prior arrangements.
7. Liability and Insurance
WOOE Studios will take reasonable care in handling and storing the Client's products while they are on our premises. However, the Client is responsible for ensuring their products are adequately insured for any damage, loss, or theft while in our possession.
WOOE Studios holds limited liability insurance, but this does not cover high-value items such as jewelry, electronics, or rare/antique items unless specified in writing and agreed upon before the products are delivered.
In the event of damage or loss due to negligence on the part of WOOE Studios, liability will be limited to the replacement value of the product or a refund of the fees paid for the services, whichever is lower.
8. Additional Requests and Charges
Any additional shots or revisions requested by the Client after the agreed-upon shoot has concluded, and which were not discussed or included in the initial contract, will incur extra charges.
These charges will be based on WOOE Studios' standard hourly rates and will include any additional post-production or editing time required.
WOOE Studios will notify the Client of the cost before proceeding with the additional shots, and work will only commence upon written approval from the Client.
9. Off-Site Shooting and Models
Location Fees: For shoots conducted at locations other than WOOE Studios’ premises (i.e., lifestyle, outdoor, or on-site shoots), the Client is responsible for covering all associated costs, including location rental fees, permits, and any necessary travel expenses.
Travel Expenses: For locations beyond a 20-mile radius from our studio, additional travel fees will apply, calculated based on mileage, accommodation (if necessary), and time. These costs will be agreed upon in advance.
Models and Talent: If models or additional talent are required for the shoot, the Client is responsible for their selection and payment unless otherwise agreed. WOOE Studios can assist with casting, and all costs for models, hair, makeup, and styling will be discussed and added to the final invoice.
Weather and Unforeseen Circumstances: In the case of outdoor shoots, WOOE Studios is not responsible for delays or cancellations due to weather or unforeseen circumstances. In such cases, rescheduling may be arranged, but additional costs may apply for any travel or location fees already incurred.
Equipment and Setup: Any special equipment or props required for off-site shoots must be agreed upon in advance. If additional equipment is needed during the shoot, extra charges may be incurred.
10. Props for Studio Shots
Client-Provided Props: The Client may provide their own props for studio shots. It is the Client’s responsibility to ensure all props are delivered in good condition and on time. WOOE Studios is not liable for any damage or loss to Client-provided props.
Studio-Provided Props: If the Client requires WOOE Studios to source props for the shoot, additional charges will apply. The cost of purchasing, renting, or creating custom props will be included in the final invoice. WOOE Studios will seek Client approval on prop costs before proceeding.
Prop Usage and Handling: WOOE Studios will handle all props with care. However, if delicate or high-value props are provided, the Client is responsible for ensuring adequate insurance coverage during the period they are in our possession.
Storage and Return: Client-provided props must be collected within 7 days of the shoot unless alternative arrangements are made. Any props left beyond this period may incur storage fees. WOOE Studios is not responsible for returning props unless specified in the initial agreement.
11. Changes to the Brief
During the Shoot: Any changes to the brief made during the shoot that alter the scope of work, such as additional shots, changes in styling, lighting adjustments, or the use of additional props or models, will result in extra charges. These will be calculated based on WOOE Studios' standard rates and the time required to accommodate the changes. WOOE Studios will inform the Client of the additional costs before proceeding.
After the Shoot: If the Client requests changes to the brief after the shoot has concluded, such as requesting new shots or significant edits that differ from the original brief, these changes will also incur additional charges. Any additional shooting or post-production work required will be quoted separately and will only begin upon Client approval.
Time Extensions: If changes to the brief during the shoot result in the shoot exceeding the originally agreed timeframe, WOOE Studios reserves the right to charge for the extra time based on our hourly rate. These charges will be discussed and agreed upon with the Client before continuing the session.
12. Return of Products and Props
Return of Products and Props: WOOE Studios will notify the Client when the shoot is complete and arrange for the return of products and props. The Client is responsible for arranging collection or return shipping within 7 days of this notification, unless otherwise agreed in writing.
Non-Collection: If the Client fails to collect products or props within 7 days, WOOE Studios reserves the right to charge storage fees. Storage fees will be charged at a rate of £5 per day, starting from the 8th day after notification of completion.
Abandonment of Items: If products or props remain uncollected for more than 30 days without prior written agreement, WOOE Studios reserves the right to dispose of or sell the items to recover storage and handling costs. The Client will be notified of this intention 7 days in advance.
Return Shipping: If WOOE Studios is required to return products or props by courier, all shipping costs, including insurance if requested, will be borne by the Client. WOOE Studios is not liable for any damage or loss incurred during the return shipment.
